Terms of Service

These Terms of Service ("Terms") govern your use of Travada Books (the "Service"), operated by Travada Systems ("we", "us" or "our").

Please read them carefully. By creating an account or using the Service, you agree to these Terms. If you don't agree with any part of them, don't use the Service. If you use the Service on behalf of a business, you agree to these Terms for that business and confirm you're authorised to do so.

1. Accounts

When you create an account, the information you give us must be accurate, complete and current. You're responsible for keeping your password safe and for everything that happens under your account, including what members you invite do in your workspace. Tell us straight away if you think someone has used your account without permission.

You must be at least 18 to use the Service.

2. Beta and fees

Travada Books is free while it's in beta. Features may change, and some may be added, limited or removed as we build.

When we introduce paid plans, we'll publish the prices and give you at least 30 days' notice before you're asked to pay anything. Paid plans will be billed in advance for each billing period and renew automatically until you cancel. You'll be able to cancel at any time from your account, and the cancellation takes effect at the end of the period you've paid for.

We may change our prices in future. Changes take effect at the end of your current billing period, and we'll give you reasonable notice beforehand. Continuing to use the Service after a change takes effect means you accept the new price.

3. Refunds

Refund requests are considered case by case, at our discretion.

4. Your content

The Service lets you add, import, store and send information, including invoices, quotes, customer details, transactions, statements, receipts and other files ("Content").

Your Content stays yours. You give us permission to host, copy, process and display it only as needed to run the Service for you: storing it, generating documents from it, sending the emails you ask us to send, and processing it as described in our Privacy Policy.

You're responsible for your Content and confirm that:

• You own it or have the right to use it
• You have the right to add the personal data it contains, including your own customers' details, and to have us process it for you
• It doesn't break the law or anyone else's rights

5. Acceptable use

You agree not to:

• Use the Service for anything unlawful, fraudulent or deceptive, including sending fake or misleading invoices
• Send spam or unsolicited messages through the Service
• Try to access other users' data, or probe, disrupt or overload the Service
• Copy, resell or reverse-engineer the Service, or build a competing product from it
• Use someone else's name or business without their permission

6. Financial and tax disclaimer

Travada Books is invoicing and bookkeeping software. We aren't accountants, financial advisers or tax consultants, and nothing in the Service is financial, legal or tax advice.

You're responsible for meeting the financial, tax and reporting rules that apply to your business wherever it operates, including filing with your tax authority. We recommend checking important decisions and figures with a qualified professional. We aren't liable for any penalties, losses or other consequences of using the Service for financial or tax purposes.

6.1 Invoices and payments

The Service lets you create, send and manage invoices, quotes and statements. We don't check whether they're legally, tax or regulatory correct. You agree that:

• You're responsible for the accuracy, legality and compliance of every document you create or send
• You're responsible for making sure your invoices meet the legal, tax and accounting requirements where you operate
• We aren't responsible for payment disputes, failed or late payments, or disagreements with your customers
• Where you use a third-party payment provider, its own terms apply, and we aren't liable for its actions or availability

7. Imported data and third-party services

The Service works with data from sources we don't control: the bank and mobile-money statements you import, receipts from a connected Gmail or Outlook inbox, and information you type in. It also relies on third-party services to run, such as hosting, email delivery and AI providers. You agree that:

• All financial and transactional data is shown "as is", without verification or warranty, whether it was imported, extracted or entered by hand
• We can't guarantee that it's complete, accurate or up to date
• You're responsible for checking it before relying on it for decisions, reporting or tax filings
• We aren't liable for errors, omissions, delays or outages caused by third-party services, including your bank, your mobile-money provider or your email provider

7.1 AI features

Some features use AI, for example to read statements and receipts, suggest categories and match documents to transactions. AI can make mistakes. Treat its results as suggestions and review them before you rely on them.

7.2 Exports

You can export your data, for example as CSV files or PDFs, to use elsewhere, including in other accounting software. Once exported, how that data is used or interpreted is outside our control. You're responsible for checking exported data before using it for bookkeeping, reporting or tax purposes.

8. Copyright complaints

We respect intellectual property rights. If you believe material in the Service infringes your copyright, email us at support@travadabooks.com with:

• A description of the material and where it appears
• The copyrighted work you believe is being infringed
• Your contact details
• A statement that you believe in good faith the use isn't authorised

9. Intellectual property

The Service and its original content (excluding Content provided by users), features, design and code belong to Travada Systems and its licensors. You may not use our name, logo or trademarks without our written permission.

10. Links to other websites

The Service may link to websites or services we don't control. We aren't responsible for their content, privacy policies or practices, and we aren't liable for any loss caused by your use of them.

11. Termination

You can stop using the Service and delete your account at any time. When you delete a workspace, we email the owner an export of its data first, as described in our Privacy Policy.

We may suspend or close your account if you break these Terms or misuse the Service. Where we reasonably can, we'll tell you first and give you a chance to export your data. When your account is closed, your right to use the Service ends.

12. Limitation of liability

To the fullest extent the law allows, Travada Systems and its directors, employees and suppliers aren't liable for any indirect, incidental, special, consequential or punitive damages, including:

• Loss of profits, revenue, data or goodwill
• Errors in or delays to imported or third-party data
• Unauthorised access to or use of your Content
• Any other use of, or inability to use, the Service

13. Disclaimer

You use the Service at your own risk. It's provided "as is" and "as available", without warranties of any kind. We don't promise that:

• The Service will be secure, uninterrupted or error-free
• Every defect will be corrected
• The Service is free of viruses or other harmful components
• The results will meet your requirements
• Third-party data or integrations will be reliable

14. Governing law

These Terms are governed by the laws of Kenya. If we don't enforce part of these Terms, that doesn't waive our right to do so later. If any part is found invalid, the rest still applies. These Terms, together with our Privacy Policy, are the entire agreement between you and Travada Systems about the Service.

15. Changes to these Terms

We may update these Terms as the Service changes. We'll announce material changes at least 30 days before they take effect, by email or in the app. By continuing to use the Service after changes take effect, you agree to the updated Terms. If you don't agree, stop using the Service.
