Create and send a quote
Price up a job, set how long the offer stands, and email the quote or share a link your customer can accept online.

A quote tells a customer what a job will cost before you start. They can accept or decline it online, and an accepted quote becomes a draft invoice for you. Quotes live under Quotes in the sidebar, right below Invoices.
Fill in the quote
- Select Quotes, then + New Quote.
- Under Prepared For, search for your customer. If they're new, type their name and choose Create "…".
- Check the details at the top:
- Quote # fills in with your next number once you've picked a customer. You can type your own, but each number can only be used once in your business.
- Currency starts as your base currency. Change it if you're quoting in another one, such as USD or AED.
- Issue Date and Valid Until. Valid Until is how long your offer stands. If you've set a default validity period, it fills itself in.
- Add extra details like a project name or reference with Add field. See Invoice settings and custom fields.
- Add your line items, each with a Description, Qty and Rate. Select Add line item for more.
- Under Tax & Discounts, add a Discount (a percentage or a fixed amount) and a VAT / Tax % if they apply.
- Add Notes for your terms, what's included, or anything else the customer should know.
The preview on the right shows the quote as your customer will see it.
Send it or save it
The main button at the top right does one of two things. Use the arrow beside it to choose:
- Send Quote saves the quote and emails it to your customer now.
- Save as Draft saves it without sending.
The email has a Review Quote button that opens the quote online, where your customer can accept or decline it. See Quote responses and invoices.
Send a draft
Open the draft and select Send Quote. Then choose how you're sending it:
- Email sends it to the customer's email address.
- WhatsApp opens WhatsApp with the quote link ready to send.
- Copy link copies the link so you can paste it anywhere.
- Download PDF saves the PDF so you can send it yourself.
- Mark as sent is for when you've already sent it another way.
Whichever you choose, the quote's status changes from Draft to Sent. A draft's link won't open for your customer until then.
Quote settings
Select Quote Settings at the top of the quote form to set defaults for every new quote:
- Default Validity Period: 7, 14, 30, 60 or 90 days. Valid Until then fills itself in from the issue date.
- Quote Number: a prefix, such as
QUO-, and 3, 4 or 5 digits. This is locked once you've created your first quote. - Default Note and Default Custom Fields, filled in on every new quote.
- Attach PDF, to include a PDF copy in the quote email.
- Send Copy, to CC or BCC someone on quote emails.
Your changes are saved when you close the panel.
Work with a sent quote
At the top of any quote you can select Download PDF or Copy Link. Under the ••• menu:
- Duplicate makes a new draft copy with the next quote number. It keeps the original dates, so update Issue Date and Valid Until before you send it.
- Delete removes the quote for good.
You can edit a quote while it's a draft, using the pencil icon at the top.
Under Activity, you can see when the quote was created, when and how it was sent, when your customer first viewed it, and whether it's still Awaiting response. Use Internal note for private notes your customer never sees.
