Add and manage customers

Add a customer once and their details fill in on every invoice, quote and statement. See what each customer has been billed, what they've paid and what they still owe.

Everyone you bill lives under Customers. Add their details once and they're filled in for you on every invoice, quote and statement.

Add a customer

  1. Select Customers in the sidebar, then New Customer.
  2. Under General Info, enter the Business Name. It's the only field you have to fill in.
  3. Add an Email. If invoices should go to a different address, such as an accounts team, put it in Bill To Email. Leave that blank to use the first email.
  4. Add a Phone, a Contact Person and a Note if you want. The note is for you and your team only.
  5. Under Business Details, choose an Industry and a Business Type, and add their Website and VAT / KRA PIN.
  6. Set the Default Currency. New invoices for this customer start in this currency, and you can still change it on each invoice.
  7. Under Location, fill in the address and Country.
  8. Select Create Customer.

You can also add a customer while you write an invoice. Type their name under Bill To and choose Create "…".

Automatic company details

When you add a customer with a company email or website, Travada Books looks the company up and fills in what it can find. That can include a short description, their industry and business type, address, logo, website, social links, and details such as when they were founded and who handles their finances.

While it runs, the customer shows Enriching in your list. Their page has an AI Enrichment section that shows what was found and when.

  • If nothing ran, open the customer and choose Enrich customer details from the ••• menu. The customer needs an email for this to work.
  • To look again later, choose Refresh Enrichment.
  • To remove the details it found, choose Clear Enrichment.

Good to know: Lookups are skipped for personal email addresses, such as a Gmail account, unless you add a website. Always check the details it fills in before you rely on them.

The customer page

Select a customer to open their page. Across the top you'll see:

  • Total Invoiced: everything you've billed them.
  • Total Paid: what they've paid so far.
  • Outstanding: what they still owe.
  • Invoices: how many invoices they have.

Their details are on the left. On the right you'll find their Invoice history and Statement history. From the top of the page you can start a New Invoice or a Statement for them.

Find a customer

Type in Search customers... above the list to find someone by name or email. The cards above the list show your Total Customers, the Outstanding Balance across all of them, your Top Customer by payments, and how many Overdue Customers you have.

Edit or delete a customer

To edit a customer, open their page and select the pencil icon, or choose Edit from the ••• menu on their row in the list. Make your changes and select Save Changes.

To delete a customer, choose Delete from the ••• menu on their row, or Delete Customer from the ••• menu on their page. Then confirm. This can't be undone.
